Plan Usage for Automated Lead Intake

Automating a standard question path does not make every call identical. Budget routine intake and human exceptions as separate kinds of work.

Cyan routine-intake cards and a magenta exception card feed a monthly usage review on a dark automation grid.

An automation-forward inbound line should have a repeatable path for common lead-intake questions and a clear way to defer the cases that need a person. Those two categories can have different call lengths. A single average may understate time spent clarifying exceptions—or overstate a concise standard path.

Count routine calls and exceptions separately

Start with your own expected monthly volume. Put standard intake, incomplete answers, and human-decision exceptions on separate rows. For each, estimate how many calls occur and how many inbound minutes they use. Multiply and add the rows. Keep SMS as its own forecast based on your approved communication plan, not an assumption that automation sends a text after every call.

The purpose is capacity planning, not a claim that Your Lead Data Bot works without oversight, pushes records to a named tool in real time, or automatically resolves every exception. Our exception-review guide addresses who owns a changed path; this article asks how much use that path may create.

Compare your estimate with the public allowance

The standard AI Phone Agent subscription is $199 per month, including 500 inbound minutes and 500 SMS per billing period. Additional inbound minutes are $0.12 each and additional SMS are $0.02 each. There is no setup or onboarding fee, the initial call flow is sales-assisted, and the subscription is month to month. Later changes may be made in the platform, with support available for assistance.

Illustrative month, not a quote: Suppose your planned line uses 660 inbound minutes and 600 SMS. That is 160 additional minutes ($19.20) and 100 additional texts ($2.00), for an illustrative phone-service total of $220.20 before other applicable charges. A month at 480 minutes and 400 SMS remains within the $199 base. Actual charges follow actual metered usage.

Use the forecast to refine automation boundaries

If exception calls consume a large share of time, ask whether the standard question is unclear, the caller is being asked for information they may not know, or the approved human owner is undefined. Do not use the estimate to remove necessary human judgment. Use it to identify the flows that need a clearer question, a better next-step rule, or a named reviewer.

Bring both the routine and exception rows to an intake-flow conversation. A credible automation plan includes the people and decisions around the bot, not an unsupported “zero-touch” promise.
